Before you start
Recommended operating sequence
- In Company Settings › Import Costing, review the clearing (goods in transit) and supplier-advance accounts, the default allocation, and the cost types each shipment must settle.
- Create the purchase order as an Import shipment and choose the Incoterm. No VAT is added to the order; import VAT is settled at customs. Confirming the order opens its costing file, and costs the Incoterm puts on the supplier are marked not applicable.
- Record any advance paid before the invoice from the costing file. It is held in the advances account against the supplier.
- Confirm the supplier invoice in the costing file. The full amount is credited to the supplier's payable immediately, open advances are applied automatically at the rate actually paid, and installments can be scheduled.
- Receive the goods in Receive Goods. Stock enters at the invoice cost, or at the order price if the invoice is not yet confirmed. Selling continues normally at this provisional cost.
- Enter each landed cost (freight, insurance, duty, clearing, port, inland transport, or a custom expense) with its provider, amount and VAT, then confirm it. Each confirmation posts a bill to that provider; product cost does not change yet.
- If the supplier issues a credit note for short-shipped or damaged goods, record it under Supplier credits in the costing file. Before closing it lowers the payable and the shipment's goods value, so the credited units no longer count as a shortage; after closing it settles the shortage claim or lowers the cost of the goods received.
- Choose how costs are shared (by value, by quantity, or a manual split), then preview the costing. For each product that arrived short, choose to spread the shortage over the units received, book it to a claim or expense account, or carry it to the next shipment.
- Run End Process. The clearing balance is swept into stock for units on hand and into cost of goods sold for units already sold, and the weighted average of every product is updated once. If goods are still to come a new file opens and takes any carried shortage with it; tick Close the purchase order when the rest will not arrive. A file that received nothing can be closed short directly.
- Costs confirmed or reversed after closing revalue stock and cost of goods sold immediately. Pay supplier and provider bills from Bills & Purchasing, where installments settle oldest first.
